At the Shawnee Chamber of Commerce, your privacy and information is of utmost importance. The Shawnee Chamber staff is committed to maintaining the trust and confidence of our members and visitors to our websites and access to our membership directory. We respect your concern over your right to privacy and for a secure online experience. The following policy explains the way information is collected and used, so that everyone will feel secure in visiting and using our websites and being included in the Chamber database. Data Collection, Management and Privacy Policy


Data Collection and Use

If you do nothing during your visit but browse through the website, read pages, or download information, we will gather and store certain data about your visit automatically. This data does not identify you personally. We automatically collect and store only the following information about your visit:

  • The Internet domain (for example “” if you use a private Internet access account) and IP address (an IP address is a number that is automatically assigned to your computer whenever you are surfing the Web) from which you access our web site;
  • The type of browser and operating system used to access our site;
  • The date and time you access our site;
  • The pages you visit; and
  • If you linked to our website from another website, the address of that website.

We use this data to analyze overall trends and help us make our site more useful to visitors to learn about the number of visitors to our site and the types of technology our visitors use. We do not track or record information about individuals and their visits.


We do enable “cookies” (a “cookie” is a file placed on your hard drive by a web site that allows it to monitor your use of the site) on some of our pages to enhance visitor experience, primarily the pages that are integrated with our member database. No personally identifiable information is stored in the cookie and it is not used for any subsequent tracking once the user leaves the site.


We collect personally identifiable information (name, email address, or other unique identifier) when specifically and knowingly provided by you – such as in an email to one of our staff, or by filling out a form with your personal information and submitting it to us through our website. We retain this data permanently or as required by law. The information is used internally for record keeping, internal reporting, to respond to your message, or to process your request (such as a meeting reservation or online payment).


Data Sharing

We are the sole owners of the data collected; we will not sell or rent this information to anyone. The Chamber posts and displays certain personally identifiable information about its members on our websites and in the Shawnee Chamber Business Resource Guide section of the Shawnee Magazine (online and print directories). Members have the option of making certain information private, thereby excluding them from the directories.


The Chamber does not publish or share member emails. Visitors to the website have the option of sending an email directly to members by filling out an online form which then submits the email on their behalf. This process ensures that the actual email address is hidden.


Additionally, we provide business information (name, address, phone number and websites) to those inquiring about members offering specific products or services, referring all members within the appropriate business category. We will also provide the information as required by law or court order, or to defend our rights in a legal dispute.


Please remember that any information you may disclose in our blog, social media accounts, etc. becomes public information. You should exercise caution when deciding to disclose personal information in these public areas.

We take precautions to protect your data. When you submit sensitive information via the website, your information is protected both online and offline. The Chamber provides a secure environment for members to make online payments by using Secure Socket Layer (SSL) encryption. This means that wherever we collect sensitive information (such as credit card data), that data is encrypted and transmitted to us in a secure way. You can verify this by looking for a closed lock icon at the bottom of your web browser, or looking for “https” at the beginning of the address of the web page. Credit card information is stored in a Payment Card Industry (PCI) compliant secured off-site server.


We also protect your data offline. Only employees who need the information to perform a specific job (for example, billing or member service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment. Passwords are provided only to those who have a need to use them.


Print copies of membership applications and other documents containing personal information are kept in a secure file cabinet. If those print documents contain credit card information, the credit card information is redacted. Documents that do not need to be retained containing credit card information are shredded.


Conditions of Use, Notices and Revisions

If you choose to visit or use the Chamber websites, any dispute over privacy is subject to this Data Collection, Management and Privacy Policy, including limitations on damages, arbitration of disputes, and application of the law of the state of Kansas. If you have any concerns about your privacy while at the Chamber websites or with the Chamber in general, please send a thorough description/explanation to and we will try to resolve it expeditiously. As our business changes constantly, this Data Collection, Management and Privacy Policy may change also.
